Project Management Officer.

Based at either University Hospital Wishaw or Dumfries & Galloway with regular travel to other sites.

Must hold a full UK licence and have own transport.

Full time - Permanent, 37.5 hours per week.

Salary - £27,000.00 - £33,000.00 depending on experience plus Serco benefits.

 

PMO (Project Management Office) Support is an important element of the business in ensuring Serco deliver high quality Lifecycle, Capital, and small Minor Works projects on behalf of our customers, providing support to the Project Managers and Project Management function.  

 

This post-holder must be highly organised and have attention to detail. You will support the team by ensuring relevant project templates are in place, that the project managers have access to them and are using them at the right stage throughout the end-to-end project management process, contributing to ensuring our projects are compliant with process and escalating where they are not.

 

Our customers require professional management of their projects, providing assurance of compliance, health and safety and delivery of operational excellence.

 

The primary outcome is to ensure an effective and efficient PMO by creating relevant information to ensure good decisions are made within the management structure of the business.

Good Data management, tracking and storage, assisting the Project Managers where required along with any other assistance and support they may need.

 

Main Accountabilities:

 

  • Enforce a rigorous reporting arrangement that ensures quality of documentation from contract teams, including time, status, risks, spend and revenue/benefits.
  • Deliver monthly summary reports, programme dashboards, project logs, resourcing data.
  • Pricing of small Minor Works.
  • Maintain project and programme Trackers that provide summary position and status for all live and pipeline projects and programmes, seeking updates and input from the contract teams and project managers.
  • Run the reconciliation process to ensure SAP and project finance positions are in sync' and act as a liaison into the Finance Business Partner (FBP) for the project team.
  • Manage and arrange senior stakeholder meetings, workshops, project and programme review meetings and boards.
  • Advise on and contribute improvements to project management processes.
  • Understand the combined Serco, CDM and customer governance for the Hard FM programme and ensure the project team is compliant, escalating to the Regional Technical Projects Manager Projects where non-compliancy exists.
  • Own and implement an SMS compliant monthly governance lifecycle that is understood by project managers and adhered to. This includes all aspects from ensuring PM submit reports, through to senior management meetings necessary to agree progress, spend and risk mitigations.

 

What you will need for the role:

 

  • Good working knowledge of Microsoft Office Including Excel and Word.
  • Evidence of continuing professional development.
  • Ability to develop positive relationships among internal and external customers, co-workers, and management.
  • Excellent time management skills and the ability to prioritise own workload to meet deadlines.
  • Good, verbal communication, written and online communication with interpersonal skills to communicate effectively.
  • Attention to detail and high-quality standards.
  • Organised, Pro-active with ability to multi-task and quickly learn.
  • Experience of Microsoft applications: Project, Visio, Excel, and PowerPoint.
  • Working with and using Computer Aided Facilities Management (CAFM) systems (such as Concept Evolution) and ideally use with supporting Hard FM projects.
  • Reports and workflow tracking.

 

Additional / special features of the role:

 

  • Experience of documentation and associated protocols necessary for managing the contract process.
  • Experience in using CAFM systems.
  • Full driving licence.
  • Requirement to travel and work throughout the geographical area served by the contract regularly, as and when required.
